Data Synchronization
Key to the INFOtrac-BusinessVision connection is
the synchronization of data between both solutions, so that
once information is entered into one; the other will inherit
the data automatically.
This
synchronization includes customers, suppliers and sales reps
to begin with. Changes and additions are synchronized between
both systems so that you do not have to enter the same information
twice, or face a situation where information in one system
is different from that found in the other. With INFOtrac’s
Quotes and Orders module, this synchronization extends to
include the inventory listings from BusinessVision; and allows
for the connection of quotations and orders between the two
solutions.

Data Referencing
Another key element to the INFOtrac-BusinessVision
connection is the ability to reference accounting data in
INFOtrac. Data that is stored within your accounting
environment can be referenced in set fields in ‘real
time’; and once this data is in INFOtrac, you
can build business processes around accounting centric information.
The power of such a system is virtually limitless when you
consider the flexibility provided by INFOtrac’s
“Profile” and “Scripting” tools. With
these features, you can build truly automated solutions that
can control aspects of your business processes in the most
efficient, accurate and trouble free ways.
Consider, for example, the types of automated business processes
INFOtrac enables by its referencing of account balances
found within BusinessVision. Imagine that you are using INFOtrac
to manage your customer service desk. If you chose, you can
automatically restrict INFOtrac’s ability to
schedule service if the accounts receivable balance for a
particular customer at 60 days is greater than a certain amount.
Such functionality combines your account collection process
with your service delivery and, in this example, will prompt
payment to be obtained prior to the delivery of service. In
this scenario, and in many others, tying in accounting data
to your business processes can provide you with a level of
operational control that was previously not possible.
INFOtrac can also be used as a ‘front end’
for processing data into BusinessVision. With this aspect
of the INFOtrac-BusinessVision connection, you can
automate business processes a level that greatly exceeds that
possible by each application on its own.

Quotations To Orders
Consider, as an example, the ability to enter a quotation
in INFOtrac and have it become a ‘live order’
within BusinessVision once a deal has been closed. Even better,
if such a sale is to a new customer whose information has
not yet been entered into BusinessVision, INFOtrac
will detect this; add the customer into BusinessVision; assign
them an account number; and synchronize all the information
between both applications. INFOtrac can then populate
the order into BusinessVision, without any human interaction,
following the conversion of the final quotation into an order.
Service and Special Orders
You can also use INFOtrac’s “Profile”
system to perform specific business processes, such as the
management of service orders (or any other form of product
or service delivery). You can, for example, have an INFOtrac
service order populate a BusinessVision order automatically
upon its completion, and include the details required to invoice
the transaction without any additional data entry.

Subscription & Recurring Billing
The INFOtrac-BusinessVision integration transcends
into the ability to incorporate subscription and recurring
billing features within INFOtrac, and populate BusinessVision
with data automatically. This allows BusinessVision to process
hundreds of invoices automatically with a single command.

be totally customized to automate the exact billing processes
you require.
